After a long journey, you rarely need the whole suitcase immediately. Usually it is the small item at the bottom that matters: the number for key collection, a charging cable or a dry jumper. A separate arrival bag avoids unpacking everything on a station platform or outside a locked holiday apartment.

Pack this bag last and carry it yourself. In a group, establish who has the booking documents and access instructions. It is inconvenient when the person with the door code is still looking for parking while everyone else is already standing outside the building.

Access and orientation first

Save the full address, the name on the doorbell and key-collection details somewhere accessible without mobile data. Add a usable contact number for the host. Check whether keys are collected at the property or at a different address. A paper copy can help if your phone battery runs out.

Keep keys, identification and payment methods in a protected place that you can reach quickly. Access codes should not be displayed on the outside of luggage. For a shared booking, a second secure copy is more useful than several scattered messages that leave you searching for the latest valid instruction.

Cover the waiting period

Bring something to drink and a simple snack, particularly if there is a gap between arrival and check-in. Keep personal medication and essential aids with you. A charging cable or charged power bank helps when the phone is still needed for directions and contacting the host.

An extra layer or light rain jacket should be accessible without opening the entire suitcase. For children, a small familiar item and any immediately needed change of clothing may be useful. Select things for your group's actual needs rather than trying to fulfil a very long universal checklist.

After checking in, these items can return to their usual places. The arrival bag is intended to make a short transition easier; it does not need to cover the entire holiday. Before travelling home, reassess which documents and keys must remain within reach until the last moment.
